OS X V10.7 Lion :: Applying Rules To Incoming Read Messages?
May 16, 2012
All of my email accounts are IMAP accounts. It seems like Mail won't automatically apply rules to new messages that appear in the inbox, if those messages were previously read on another device. It seems like Mail will only apply inbox rules to a new message if it comes in as "unread". For example, if I was reading some email messages in my iPhone's inbox, and then I come home and turn on my Mac and launch Mail, all of those messages show up for the VERY FIRST TIME in Mail's inbox. But none of the rules are applied to those messages, because I've previously read them somewhere else. This seems to be either a bug in Mail, or a poor design choice in Mail. Is there any way to FORCE Mail to apply rules to all incoming messages that appear in the inbox, regardless of whether or not they were previously read on another device?Â

I just tried to make the switch from Entourage to Mail, but there is a major bug in Mail's handling of rules that has sent me running back to Entourage.
Mail will NOT apply any rules to messages that appear in your inbox, if you've already read those messages on other devices, such as your iPhone.
If you?ve already read an email on another device (such as your iPhone), then Mail will NOT apply ANY incoming rules to that message when it shows up in your inbox. Every other email program on the planet that I know of ? including Entourage and Outlook ? ALWAYS applies rules to messages that appear in your inbox, whether or not you?ve read those messages on other devices.
I really wish that Apple would fix this bug.
Does anybody have any ideas on how to workaround this in the meantime?

Recently we brought a new mac and have set up entourage 2008.
We want a mail alert sound for all my incoming mail. We do not want the default ones that they have.
We downloaded a set of sounds for this.
What is the rule that we need to use to make these sounds work?

I am unable to send mail. I have a verizon.net account. Incoming mail is fine, just cannot respond or send messages from this account. It gives me this message: "Sender address was rejected by the server".
Connection doctor responded:
Outgoing.verizon.net connection to server succeeded. No login necessary.

This is a recent issue I've been having. Mail pops in to my inbox, and for a time the little blue 'unread' icon is there. Then after a while is seems to disappear and it looks like i've read the message when I actually haven't.This obviously has potential issues as I could easily miss a message.

I have set up my email account in Entourage and in Mac Mail. It is a Rackspace email account. I can retrieve messages from my email account in both programs. When I read a message in Mac Mail, it immediately disappears after I close the message. The messages remain in my Entourage inbox. In other words, after they are read, POOF! it's as if they never existed in Mac Mail. Â
Is there a setting I am missing? why this would happen in Mac Mail but not Entourage?Â

I have rules that sort new mail into a number of mailboxes on iCloud, and also copy the mail to similar mailboxes local to my desktop. The rules seem to want the "move" action first, followed by the copy action, as no mater how I enter them, they are rearranged. After I edit a rule and have the destination mailboxes set, they look OK, but then when I revisit the rule after saving, the destination mailboxes are changed. I am not able to get this to work at all consistently. I have about 30 rules to sort incoming mail.Â
I want to do it this way so that I can get a local copy of my mail and also have a copy in the cloud for viewing with my mobile devices. I eventually delete all the iCloud mail and archive the mail in local folders offline. So it would be nice to be able to get the two copies of new mail in the cloud and locally to work.Â

In old style view. Every time I touch a message, it turns to read even if I haven't double clicked to "open it". I presume this is because it is previewing but I don't want it to do this. Also, every time I click on "inbox" to look at my messages, the top message in the list automatically changes to read. Again, I haven't opened the email and in this case I haven't even touched it! Can I TURN OFF PREVIEW? I've been looking around but can't seem to do this.

Wondering if anyone else was having any weird issues with their iCloud and unread count in the Mail app on their mac running lion? I can't seem to get rid of a phantom unread message. My iCloud account is fairly new so I don't have that many messages to go through so I know there is not an unread message any where.

Is there anyway to highlight an already read and saved message in Mac Mail? To clarify, when I open Mail I have a window that shows all my incoming messages, both unread and read. Sometimes after I read a message I want to be able to go back and quickly find it. This could be several days later and in the meantime I have 50 more saved messages and trying to find it is difficult. Is there some way to highlight it in color or flag it so I can easily go back and find it? I am running 10.5.8 although I doubt that has any bearing on anything.

It seems everytime I open Mail, I get Incoming Messages (4, 8, 20 or 50 of them). Where are they? I have Mail setup with an IMAP server with my university. I do get real messages too. But what are all these others that I never see?

This morning several email messages won't print out. If the incoming message is a reply to my email and that reply contains my original email in the response, only my email prints out. The reply and sender info are blank in the printout.

I use Mac Mail at home and at work. At home everything works fine. At work, in general everything is working, but every time I start up Mail, it says there are over 1500 Incoming Messages and proceeds to "download" them. Of course there aren't these messages. My two email accounts are .Mac IMAP account and a business IMAP account. These 1500 messages don't seem to be put anywhere, and I can't seem to figure out which account these messages are coming from. The problem is downloading all of this makes my computer slow down a bunch (old mac) and it takes a long time. The problem does not affect my home Mac or my iPhone.

I'm not very fond of using the integrated mail app in mavericks. However I love how I am able to compose a message simply by clicking someones email on a website. But my question is, how can I turn off incoming messages from being stored in my mailbox? I would like the app to function where there are no incoming messages or junk in the mail app. The version is a 7.3 and my mac is running on mavericks 10.9.3

Some of the emails I receive from friends show a placeholder for an image. The placeholder has the filename (example.jpg) in the top left hand corner. In the centre of the placeholder is a tiny blue square with a question mark. Is there a way to display the pics in the email along with the text. Funny stories are not quite the same without the pics! I can preview & download the images with no problem. So it looks like the images are there, its just that mail doesn't want to display them sometimes?

I have a 13" MBP running 10.6.2 and for some reason I randomly get Mail bringing in like 3,400 messages and i have not been able to figure our why. I have the following Mail accounts:
1. Work - this is pop and I know it can not be this account causing it as I only leave 1 day on server so there is not that many in there
2. .Mac - (mobile me) however i only have 2,784 messages in it so the numbers dont match up
3. gmail - this account only has 26 messages since i only use it for GV and syncing an Android phone
It does this very quickly for supposedly bring in that many messages and when it finished nothing has changed and i notice nothing new in my Mail accounts?

This has concerned me ever since I got a Mac. Sometimes I'll open mail, and it'll say (in the bottom left ) receiving 1 of 15. Scroll across to 15 - but I'll actually only get one new email. I have Junk Mail filtering to just mark emails, not delete them.

I don't see a preference option for setting the message body to a font for incoming mail. All of the mail I receive has a font that is too small to read so I would like to increase the font size.

I manage a host of e-mail accounts, and I have times when I use the same signature for different business accounts. I'm looking for an easy way to take all of my signatures and apply them to all of my e-mail accounts. Is there a simple way of doing that or do I need to take each signature and individually drag it to each e-mail address?Â

I used to use ResEdit back int he day - and have used various tools on Mac and Windows to change icons. BUt I am stuggling with a default custom icon option for Mac OS X. Â I have a set of farily simply icons for use with a number of file types that I use a lot - csv, psl, pti, tp3, xml, cfr, and others and I would like to always have newly created files get the custom icon. Â
Ideally this would be based on the extension - and they are not all from the same app. Â I am not afraid to use the terminal or edit package contents. Although some of them are windows apps - and I already have a custom set in the virtual machine. Â Some of the solutions I have seen out there such as Candy Bar seem to be only for application and folder settings. Â In a couple cases - such as the .cfr and .pti - the apps do not have an open method where you can double click on the file and have it open - so I woudl be okay with something like reprogramming TextEdit to have the necessary icons and plist updates. Although when I tried to edit the plist file in TextEdit - all I did was render TextEdit unusable. Â
when I create 30 to 40 files ( a group of 5 differnet file types for each option ) to have icons that help me determine which ones I need to run a macro against - and which to send the customer - and which to upload to the vendor - etc. Â Also missing the colorful icons in the sidebar and iTunes - as well an Unsanity Haxies?

Is there a way for me to view messages in the preview pane in Mail (i.e., scroll up or down), without having Mail mark the message as "read", unless I actually open the message? If so, can anyone tell me how I can set that option?

I've been running all of my emails through my iPhone since it was released. Just recently I picked up a new Mac Mini as a work machine, and I set up Mail to handle all of the same accounts as my phone, with the thinking being that I can read and respond to messages when I'm at the computer, and when I step away, be able to read the remaining emails on my iPhone.
What my problem is, however, that both my Gmail and Hotmail accounts don't seem to "sync" properly between the phone and the computer, meaning that mail that I've read or deleted in Mail on the Mac Mini don't show up as being read or deleted on the iPhone, and vice versa.
I don't want to have to delete a message on my phone if I've already taken care of it in Mail.

I would like to create a folder that has only messages from one person in it. I tried using "smart mailboxes" however, messages that have already been received and read can not be placed into these mailboxes. Is there any way to do what I want in Mac Mail?

Rules in Mac Mail are working terribly randomly - create a rule to color messages from domain = x, didn't work; then tried a rule to color messages to = one of my 3 email addresses ... that worked on about 80% of the messages to that email address (***? no discernable pattern!) after exiting and re-launching mail ... Finally realizing this thing just doesn't work I deleted all the rules ... several exits/re-launches I now still have about 80% of my messages to one email address I use colored, with no discernable pattern. There are no rules now.Â

I am having a problem with rules in Mail (OS X Lion 10.7.3). The action rules I make will not stick. We use an Exchange mail server. I want my selected messages to be:
1. Moved to a local (on my Mac) mail folder.
2. Copied to a folder on the Exchange server.
That way I will have a local permanent archive of my mail, and also be able to see recent messages on all my devices (home Mac, iPad). The problem is that after quitting and restarting Mail, the actions get changed so they act on the same folder (e.g. move and copy to my local Mail folder) rather than to the two different ones. I tried removing the old MessageRules.plist in my Library Mail folder, but that made no difference. The newly written rules do the same thing as before.

I have 3 mail accounts (POP), and very often I receive mail that has been sent to the wrong accountI have therefore implemented one rule that has multiple conditions (based on sender, or subject, etc) and basically instructs mail to move said message(s) to account #3 however after I set up the rule, selected my all my messages in acct #1 and ran the rule I noticed that some messages were sent 20 times (I kid you not) to acct #3. How can I isolate a rule so that it only applies to a specific account? Else said, how can I be sure that the rule does not trigger a giant feedback loop?Â

I want to make some rules for some emails that I get. Let's say I get a email when someone resonds to a post I made on a forum and I don't want it in my INBOX. I made a folder for that particular forum. Â How to I make a rule so that all of those emails from that forum go in that folder instead of my INBOX?Â
